Salary Information

HL09 - $43,705.00 - $56,815.95 per annum

Duties and Responsibilities

  • Serving as the primary point of contact and liaising with internal and external stakeholders on behalf of both the Vice President of Finance & Administration, and the General Counsel.  
  • Establishing and maintaining records and information management systems including databases and tracking systems.
  • Organizing and maintaining the Vice President’s and General Counsel’s Outlook calendar, appointments, and meetings.
  • Screening and prioritizing incoming communications, including email and phone calls.
  • Addressing inquiries and offering guidance to individuals inquiring.
  • Coordinating travel arrangements, preparing itineraries, and managing expense reports.
  • Collaborating with and supporting the broader Finance & Administration and General Counsel teams on various projects and processes.
  • Creating and submitting requisitions, payment requests and employment requests for the Finance & Administration and General Counsel’s teams.
  • Drafting, editing, and formatting correspondence, presentations, and reports.
  • Preparing meeting agendas, recording minutes, and ensuring follow-up on action items.
  • Monitoring operating budgets and working with the Budget department.
  • Exercising independent judgment in the interpretation of Finance & Administration policies and providing guidance in the absence of the Vice President.
  • Maintaining confidentiality and handling sensitive information with discretion.

Screening Criteria

  • Diploma in Office or Business Administration (equivalencies may be considered)
  • Experience providing related administrative support services to management

Conditions of Offer

  • A recent and satisfactory Certificate of Conduct must be provided.
  • Verification of credentials and applicable licenses, certifications, and/or professional memberships as required for the position.
    • Credentials obtained outside of Canada will require an evaluation to determine their Canadian educational equivalency. This evaluation must support the educational requirements for the position.
